A Structured Start. A Stronger Accounting Operation.

Our 90-Day Onboarding Process

Changing or expanding your accounting team can feel overwhelming. Financial records must be transferred, systems need to be understood, responsibilities must be clarified, and daily accounting cannot simply stop while the transition takes place.

That is why EZPZ uses a structured 90-day onboarding process led by our Chief Accounting Officer. We take the time to understand how your business operates, organize the information your team depends on, and build accounting workflows around your actual needs.

The result is more than a successful handoff. It is a dependable accounting operation designed to work efficiently in the background while giving you greater confidence in your financial information.

More Than Transferring the Books

Effective onboarding is not simply collecting passwords and assigning tasks.

Before your accounting team can work independently, they need to understand your business structure, financial systems, reporting requirements, internal responsibilities, and the way information moves through your organization.

During onboarding, we work with you to understand:

Your companies, projects, properties, locations, or departments
Your accounting software and supporting business systems
Your bank, credit-card, loan, and financial accounts
Your existing accounting records and data repositories
Your accounts payable and accounts receivable processes
Your month-end close and reconciliation requirements
Your current reports and management expectations
Your lender, investor, owner, or stakeholder requirements
Your internal approval and communication procedures
Any accounting backlogs, inconsistencies, or process gaps

This gives us the foundation needed to create accounting processes that are accurate, practical, and appropriate for your business.

What Happens During Your First 90 Days

A structured step-by-step framework designed for confidence and clarity.

1. Discovery and Information Gathering

We begin by learning how your business works.

Our Chief Accounting Officer leads the initial discovery process and coordinates the collection of your essential financial information.

This may include accounting-system access, financial records, bank and credit-card statements, loan documents, organizational information, existing reports, process documentation, and access to relevant data repositories.

We also identify your immediate priorities, unresolved accounting concerns, upcoming deadlines, and the reports management needs most.

The objective: Establish a complete understanding of your current accounting environment and determine what must happen first.

2. Accounting Review and Process Design

We evaluate the current operation before building the new one.

Once access and information have been collected, we review your accounting structure, existing records, chart of accounts, reconciliations, reporting practices, and recurring workflows.

We then document the responsibilities, procedures, review points, and communication channels required to support your business consistently.

Your customized workflows may address:

Daily and weekly accounting activities
Accounts payable and receivable
Bank and account reconciliations
Month-end close procedures
Project, job, property, or location reporting
Document collection and organization
Management review and approvals
Financial reporting schedules
Issue escalation and follow-up
Internal controls and accountability

The objective: Replace uncertainty and informal workarounds with clearly defined, repeatable accounting processes.

3. Team Training and Guided Implementation

Your accounting team is trained around your business—not handed a generic checklist.

Our Chief Accounting Officer trains and guides the assigned professionals from the top down, ensuring that responsibilities, expectations, systems, and reporting requirements are understood at every level.

Your bookkeepers learn the daily transactions and reconciliations. Accountants learn your reporting structure and review requirements. Controllers understand the broader financial operation, internal controls, and management priorities.

The team begins completing assigned work while receiving active oversight, feedback, and process refinement.

The objective: Develop a trained accounting team that understands both the numbers and the business activity behind them.

4. Transition to Ongoing Operations

We move from implementation to consistent monthly support.

Once the accounting workflows are established and the team is operating effectively, day-to-day oversight transitions to our Client Operations Director.

The Client Operations Director monitors responsibilities, deadlines, communication, workflow consistency, and service delivery while coordinating with accounting leadership whenever higher-level review is required.

Documented procedures and task tracking help maintain continuity, accountability, and visibility as your needs change.

The objective: Create a stable accounting operation with ongoing supervision—not a team you must continually manage yourself.

Leadership Throughout the Transition

Your onboarding is supported by clearly defined leadership responsibilities.

Chief Accounting Officer

Leads discovery, evaluates your accounting environment, develops workflows, establishes reporting expectations, and trains the assigned accounting team.

Client Operations Director

Assumes ongoing operational oversight after implementation, helping ensure responsibilities, deadlines, communication, and established processes remain on track.

Your Dedicated Accounting Team

Completes the bookkeeping, accounting, controller, or financial-support responsibilities included in your engagement.

This structure gives you both dedicated professionals and experienced oversight without requiring you to recruit, train, and supervise an entire internal accounting department.

Built Around Your Schedule

We understand that you are already managing a business. You may not be able to gather every document, attend frequent meetings, or answer every question immediately.

Our onboarding process is structured but flexible. We coordinate information requests, meetings, system access, and implementation activities around your availability while keeping the transition moving forward.

We organize requests, document outstanding items, and prioritize the information needed to begin productive work. You remain informed without becoming responsible for managing every detail of the onboarding process.

What We Need From You

A successful transition requires your knowledge and cooperation, but it should not consume your schedule.

We generally ask you to help us:

  • Identify key contacts and decision-makers
  • Provide access to accounting and supporting systems
  • Share available financial records and documentation
  • Explain important approval and reporting requirements
  • Confirm business priorities and upcoming deadlines
  • Answer questions that require management knowledge
  • Review and approve major process or reporting decisions

We organize the process so your involvement is focused on the decisions and information only you can provide.

What You Can Expect From Us

Throughout onboarding, EZPZ provides:

  • Experienced accounting leadership
  • A dedicated accounting team
  • Clearly assigned responsibilities
  • Documented workflows and procedures
  • Organized information requests
  • Structured task and deadline tracking
  • Regular communication and progress visibility
  • Training based on your operations and systems
  • Operational oversight after implementation
  • Scalable support as your business changes

The Result: Accounting That Requires Less of Your Attention

At the end of onboarding, your accounting should no longer depend on scattered information, undocumented procedures, or constant direction from you.

You should have a trained team, established responsibilities, documented workflows, organized records, and a clearer reporting process—all supported by ongoing operational oversight.

That means you can:

Spend less time answering routine accounting questions
Review financial reports with greater confidence
Identify problems and missing information sooner
Maintain more consistent accounting processes
Reduce dependence on any single employee
Scale accounting support as your business grows
Focus more of your attention on operations and growth

Your accounting continues working in the background while the information you need becomes easier to access, understand, and use.
